Using an event management app, is it enough for digitalization?

Digitalization is the trendy keyword spread around for all kinds of industries. Yet, what is digitalization? Is it just data that you gather or is it about digital tools that you use for work? The general answer is, digitalization is the process of managing your workflows and processes digitally.

Now, how do we apply that to events? People have been gathering for various events for centuries – made agreements, met people, grew their network and found leads. With digital tools, the events got an additional layer of efficiency and data that event organizers never had before. But it wasn’t only for the organizers. Digitalization changed the behavior of the event attendees as well. Today, the attendees are more interested in knowing in advance whom are they going to meet at the events, and whether these meetings would be relevant for them. Event management app could be a great solution for this.

Once I asked an event manager, what was the percentage of costs spent on networking during the event. The answer was, around 5%. Costs spent on networking during an event is around 5% of the total cost but it is vital for the event. My next question was, well, what would have happened if that number was zero? What would happen to the event if the organizers chose not to spend any money on networking? His answer was rather straight: nobody would come to the event again. So, before you begin to plan your event, first ask yourself: Why do people go to events? Here’re some of the reasons:

  • To meet new people;

  • To find new connections;

  • To establish lasting relations;

  • To promote their business or cause.

At the end of the event, you know how many people and companies joined the event. But do you know…

  • What did people do during the event?

  • How many meetings did they have?

  • Were they happy with their meetings?

Knowing answers to all of the above, you can drastically improve the experience for your attendees. In other words, you will know

  • What to improve next time?

  • How to make your event more attractive?

  • What is the biggest value of your event?

Plus, powered with measurable, meaningful data you will be able to provide

  • Better infrastructure,

  • Better services,

  • Better catering,

  • Better program,

  • Better marketing,

  • Better pricing,

as well as,

  • Better meeting and schedule management,

  • Better attendee engagement.

Having these in mind, let’s get back to where we started – digital tools for event managers. All of the above can be better assessed and achieved with the right event planning tools. And since networking and interactions are at the core of it, all you really need is a tool that focuses on managing meetings and interactions. A tool where event goers are in charge because they can build their own schedules, plan visits to exhibition areas, join workshops and follow the stage program. A tool that they can use to arrange their after-event activities – see statistics, check meeting notes and follow up with the new leads. Same goes for event organizers. After well earned few days off, you can see analytics of your event, and start planning the next one using data collected from the previous one.
